Frequently Asked Questions
We’re sure you’ll have questions about the process and information we’re requesting; please take a look at our FAQ below, which we’ll continue to make additions to.
Why do I have to provide more information when I already submitted my registration?
We only received a full listing of the data required by the Polish jamboree team in May of 2026. Unfortunately, our best guess in 2025 about what the Jamboree would ask for was missing a few things!
This means we need to gather some more information from you. This is also a good opportunity for you to check that all your information is correct. Once we submit your data to the Poland Jamboree team, it will be very difficult for us to make changes.
Why do I need to enter information into two systems?
As well as your basic registration data, we need to collect some health information that will help us ensure you have a safe time at the jamboree. This information needs to be stored in a separate registration system that meets certain privacy laws pertaining to medical data.
Is my medical information safe?
The ePACT system meets or exceeds privacy requirements set by HIPAA in the US and PIPA, PIPEDA, and FOIPPA in Canada. So, yes, your information is safe in our hands, and only required information will be shared with the Poland Jamboree team.
For more information on ePACT and how their information is stored, please visit the following link: https://www.epactnetwork.com/corp/faq/#security
For more information on how the Jamboree will use and protect your data, please visit the following link: https://www.jamboree2027.org/data-protection-notice/
Who will have access to my medical information?
Within the Canadian Contingent, the information collected will only be available to the Health and Safety Team, our Admin and Finance Deputy, and our Head of Contingent. We are also required to share specific information with Jamboree.
The Travel team will also have limited access to data from the travel page to facilitate booking flights to and from the Jamboree, but not any medical information.
Why do I need to provide my medical history and other health info?
The Jamboree requires all contingents to gather accurate information about participants’ health before travelling. This includes chronic conditions, serious allergies, and specific medical needs. This important health information helps us make sure you have a safe jamboree experience. Withholding information regarding medical conditions can create serious risks and make emergency treatment more difficult.
Why do both my child and I need to sign the code of conduct?
It is important that both youth and their parents/guardians are aware of the rules and expectations for the camp. Failure to uphold the code of conduct could have ramifications for both the youth and the parents/guardians, since in severe cases the youth may be sent home from camp at their parent/guardian’s expense.
Therefore, it is very important that all parties understand and agree to the ground rules we are setting.
If you and your youth cannot agree to the code of conduct, your youth cannot attend the event.
Who completes the ePACT form?
Parents/guardians are asked to complete the form for youth participants, while both you and parents are required to review the code of conduct and sign their acceptance of it.
Adults are expected to complete their own medical profiles, and accept the code of conduct on their own.
Why is some information in ePACT prepopulated?
If a member has previously used ePACT, which is widely used across cities, sport organizations, and camps across Canada, data such as name or birthday may prepopulate in their system. We ask that you review and correct any errors or make any changes that are required.
What if I have to update information in ePACT after it is submitted?
We realize that changes will occur throughout the year, and it is critical for you to share them with us.
Once the form is completed, you can go back and edit the information provided by clicking the “My ePACT” tab in the top left corner of the browser, click the name of the person whose form you wish to edit, and then select “Scouts Canada WSJ 2027 Adult/Youth”.
This will bring you into the completed form and allow you to make changes to update any information that has changed.
